FHNO Global 2025 Abstract Submission Guidelines

  1. The deadline for abstract submissions in any category is July 31, 2025.
  2. Abstracts must be submitted exclusively online via the FHNO Global 2025 website. Submissions sent via email, fax, or postal mail will not be considered.
  3. Only delegates registered for FHNO Global 2025 are permitted to submit abstracts.
  4. Abstracts may be submitted under one of the following themes:
    • Clinical : head and neck (all subsites combined), oral cavity, oropharynx, larynx, hypopharynx, thyroid, salivary glands, skull base, nasopharynx, other subsites (not specified above), medical oncology, radiation oncology, diagnostics, theranostics, quality of life, survivorship, rehabilitation, reconstruction, and pain and palliative care.
    • Research : public health research, basic research, translational research, health economics , health technology and artificial intelligence in oncology.
  5. Submitted abstracts must contain original material that has not been published or presented at any other meeting prior to the FHNO Global 2025 meeting.
  6. Only abstracts submitted in English will be accepted for review.
  7. All abstracts, whether for poster or oral presentations, must adhere to the prescribed format.
  8. Abstracts should be structured under the following headings: Title, Authors, Background/Purpose, Methods, Results, and Conclusion. (The word limit applies only to the Background/Purpose, Methods, Results, and Conclusion sections)
  9. Abstracts should not include tables, images, graphs, or illustrations.
  10. The abstract text must not exceed 250 words; abstracts exceeding this limit will be automatically truncated.
  11. The presenting author must be identified at the time of submission.
  12. The names and affiliations of all authors must be included in the submission portal.
  13. Authors should refrain from mentioning their name or institution within the abstract text; failure to comply will result in disqualification.
  14. Indicate your preference for either oral/podium presentation or e-poster presentation by marking the appropriate box during the submission process.
  15. All submissions will be reviewed by a panel of experts in a blinded and coded manner.
  16. The Abstract Review Committee will communicate acceptance decisions and presentation categories (Oral/E-poster) via email.
  17. Papers accepted for oral presentation shall have the opportunity of podium presentation of their work at the conference. A few selected E-poster shall have the opportunity to present their work as short presentations in a multi-learning platform at FHNO 2025.
  18. The best oral/poster presentations and e-poster shall be awarded.
  19. All participants will receive a certificate of acknowledgment.
  20. The FHNO Global 2025 Committee reserves the right to withdraw any paper at any time.

Criteria for Disqualification (Oral/E-poster)

  1. Disclosure of author(s) name(s) or affiliation(s) directly or indirectly anywhere in the text of the abstract.
  2. Previously published studies.
  3. Papers previously presented at FHNO.
  4. Plagiarized or doctored studies.
  5. Canvassing the abstract.

Guidelines for Video Presentation Submission

  1. It is mandatory for presenting authors to register for the conference.
  2. Video submissions may be made under the following themes:
    • Surgical procedures
    • Radiotherapy procedures
    • Evaluation techniques
    • Chemotherapy procedures
    • Innovative techniques
    • Other head and neck oncology-related topics
  3. Video presentations must be based on original work by the presenting authors.
  4. Videos will be reviewed by a panel of experts, with the top 10 selected for the Best Video Competition at FHNO Global 2025. Other selected videos will be showcased sequentially on A-V screens throughout the conference.
  5. Authors will be notified regarding their video acceptance status and category via email.
  6. All authors will receive a participation certificate.
  7. The deadline for both video and abstract submissions is July 31, 2025.
  8. written abstracts and/ or videos (shared via Google Drive) may be submitted for evaluation.
  9. The written abstract must explain the video's objectives (150 words).
  10. Technical Specifications for Video Files:
    • File format: .mp4
    • Duration: Maximum of 8 minutes
    • Preferred aspect ratio: 16:9 widescreen; 4:3 is acceptable, but please avoid "stretching" the video.
    • Maximum video size: 1.5 GB.
    • Patient Privacy: Identifying information, including patient names, initials, or hospital numbers, must not be present. Written consent from each patient/person featured in the work is required, and authors may need to provide proof of consent upon request.
  11. It is recommended that videos be self-explanatory with background voiceovers and preferably no subtitles.
  12. The video should begin with a title.
  13. Decisions regarding acceptance of video submissions will be communicated via email.
  14. The FHNO Global 2025 Committee reserves the right to withdraw any video at any time.

Criteria for Disqualification (Video)

  1. Disclosure of author(s) name(s) or affiliation(s) directly or indirectly anywhere in the text of the abstract/video.
  2. Previously published videos.
  3. Videos previously presented at FHNO.
  4. Manufacturer’s demo videos.

Steps for Abstract Submission

  1. Log onto the FHNO Global 2025 website. (On registration, you will receive a username and password which can be used to access the abstract submission portal.)
  2. Click on the "Abstracts" section and log in using the username and password provided upon registration.
  3. Review the general guidelines.
  4. Select the category for your abstract submission.
  5. Read the guidelines specific to that category.
  6. Upload your abstract/video.
  7. After uploading, click the submit button on the screen.
  8. A dialogue box confirming "Abstract has been submitted successfully" will indicate that your submission was successful.
